Job Description

Office Manager and Executive Assistant [2521]

Technology company seeks a temporary-to-permanent Office Manager and Executive Assistant to manage administrative systems and processes while providing direct support to the CEO and COO.

Responsibilities:

  • Handle domestic and international travel arrangements by creating itineraries and processing expense reports.
  • Manage complex calendars and schedule internal meetings with executives.
  • Draft and edit executive correspondence.
  • Coordinate conference and meeting logistics, develop agendas, reports, presentations, and other pertinent documents.
  • Answer and direct incoming phone calls to appropriate departments and personnel.
  • Coordinate office services and maintain relationships with vendors.
  • Support HR-related tasks by assisting with employee onboarding.
  • Collaborate with the finance team and assist with budget monitoring and expense tracking.
  • Provide project management support by monitoring the completion of departmental projects.
  • Other duties and tasks as assigned.

Qualifications:

  • Must have experience scheduling international and domestic travel.
  • Strong verbal, written, and interpersonal communication skills.
  • Demonstrated professionalism and ability to effectively communicate with executives.
  • Highly organized and attentive to detail.
  • Strong initiative, judgment, and problem-solving skills.
  • Ability to handle confidential information.
  • Excellent software skills.

Requirements:

  • French proficiency preferred.
  • Three years plus experience providing executive-level and office manager support.
  • Ability to work flexible hours as needed.

Rate: $23-$25 per hour (DOE) while temping.
Salary: $75,000-$85,000 once permanent.
